Application process

Once you decide to proceed, we’ll guide you through the referencing process, which typically includes:

Proof of ID and Right to Rent checks
Employment/income verification
Landlord references
Credit checks

We use a secure, online system to make the process quick and easy. If you have any concerns about referencing, please speak to our team - we’re here to help.

Tenancy Fees

Lost keys / Security Devices and replacements are charged at a reasonable cost and evidence will be provided.
Rent Arrears, after 14 days 3% interest will be charged above the Bank of England Base rate.
Variation of Tenancy, Minimum charge of £50+ VAT (£60) this charge may be higher depending on changes that are required.Evidence to support this will be provided.

Tenancy Agreements

Your tenancy agreement is a legal contract between you and the landlord, setting out the terms of your rental. At Lewis William Residential, we use clear, fair agreements which outline your rights, responsibilities and the length of your tenancy.

Before you move in, you’ll have time to review the agreement and ask any questions. Once signed, it protects both you and the landlord throughout your tenancy.

Maintenance & Repairs

At Lewis William, we’re committed to keeping your home safe and well-maintained. If something goes wrong, report it by phone, or email. We’ll assess the issue and arrange a trusted contractor to fix it as soon as possible.

For emergencies—like major leaks or no heating—we will provide an emergency number in your welcome pack.

You can rely on us for quick, clear support when you need it.

Holding Deposits

The Holding Deposit is non-refundable if the Landlord decides not to rent the property to you if you fail the credit checks and referencing.
If the landlord does not go ahead with the tenancy then it is the landlord's responsibility to refund you the Holding Deposit. Our referencing partner offers a tenant liability insurance quote once your reference application is complete; with no obligation to purchase
Utility Contact Disclosure: As your agent, we have a legitimate business interest to make sure that any change of tenancy information is supplied to the relevant utility providers of the rented property to ensure that the relevant charges or liabilities are directed to the responsible parties at move in and move out. In fulfilling this duty, we use utility management companies to identify and notify the existing utility suppliers that you have moved in or out of a property.

Holding Deposit: What You Need To Know

To reserve a rental property, you may be asked to pay a holding deposit (max 1 week’s rent). This secures the property while references and paperwork are completed.

Only one holding deposit can be taken per property
If the tenancy goes ahead, the deposit is applied to your rent
If the landlord withdraws, it’s refunded in full
If you withdraw, fail checks, or give false/misleading information, it may be withheld
A tenancy agreement is usually signed within 15 days unless otherwise agreed
If your deposit is retained, we’ll provide a written explanation within 7 days

Book a viewing at your convenience. Love what you see? Complete a simple application and provide ID

and references.

Secure

& Sign

Once approved, we’ll draw up your tenancy agreement and request your deposit. We will guide you through the paperwork and make sure you understand your rights and responsibilities.

4.

Move in

& Settle

Collect your keys and move into your new home! We’ll complete a detailed inventory and remain on hand for any maintenance or support during your tenancy.
