Information we hold​

Lewis William Residential Lettings hold the following information about tenants: name, address, email, telephone, 2 forms of identification (including photo identification) date of birth, employment information, insurance information, bank statements.

Who your information will be shared with:​

Whilst the Landlord or his Agent shall make every effort to keep the Tenant’s personal details safe and secure, it will be necessary to share such information with trusted third parties such as: -

  • Utility companies (Gas, Electric, Water, Council, including utility switching services) Tenants details will automatically be given to a utility switching service who will transfer the utilities.

  • Maintenance contractors & sub-contractors for gas certificates, electric checks, general maintenance issues.

  • Credit and referencing agencies.

  • If a for sale valuation is required, then your number will be passed to our sister company (Stone Cross Estate Agents)

  • Stone Cross Mortgages

  • Debt collection companies or legal courts.

  • Surveyors (usually for re mortgage purposes)

  • Tenancy Deposit Scheme

  • Tenancy paperwork which includes tenants’ personal details which will be sent to the landlor

The Landlord or the Agent will not divulge personal contact details to any third-party organisation for marketing purposes without prior approval unless this is necessary to comply with a statutory obligation

 

When will my data be deleted?

Lewis William Residential Lettings will hold this information for as long as necessary. This is usually a reasonable period of time for retention after the expiry of the tenancy.

 

Right to complain

If you believe that Lewis William Residential Lettings have incorrectly shared your information, you can complain to the Information Commissioners Office (ICO) www.ico.org.uk
